Upon booking with me, you agree to these terms and conditions outlined below.
Any quires are taken via email or telephone, official correspondence is done by email, which is proof of agreed date, time and payment, any concerns you may have regarding your session are discussed prior to your session, such as location, best hour to be photographed and clothing.
Your session fee is payed in full and due upon booking, this is non-refundable, Forever Chia Photography has agreed not to book another client during the same time period, and subject to saying no to other clients would be a loss for business.
Length of session
Standard session are on average 1.5 hours, allowing time for families, couples and children to feel at ease and become comfortable in front of the camera, children are encourage to bring their favourite toy, music books or even a larger toy such as a toy truck/car they can sit on. If the session runs over the allocated time a maximum of 15 minutes is not charged, after this every 30 minuets is charged at £50
Preparing for the session
It’s the little things that really can ruin your session, from dirty shoes, wrinkled clothing to chipped nail polish which are not be edited out, it’s the client’s responsibly to create there desired look for their session. Hair, if your child’s hair is his/her face it can be really distracting if it’s being flicked all the time, arrange a haircut or style it away from their faces, these are only suggestions from observing over the years and clients saying chia, I wish I had my nails painted and so forth.
Distractions such as cameras and phones policy
No additional cameras please, the photographer understand parents are excited to capture this occasion, its distracting not only to the photographer but to children and will have a direct impact in the final outcome, the photographer cannot be held liable if your child’s gaze is looking up and over her shoulder at your camera. Please be polite.
Best time of the day for an outdoor session
I photograph later in the afternoon for outdoor locations to avoid the harsh light of the day, or golden hour two hours prior to sunset, when possible with the English weather. Indoor sessions vary depending on the session booked, prior to my visit I ask my clients to take pictures at the brightest hour of the day so I can see how the light fairs in each of the rooms.
With a choice of locations that are free to the public, and dog friendly are mostly available, however if a location is suggested by a client where permits or a fee for use of private hire of a venue or other the client is required to pay these fees.
Scrapes and bruise happen, the photographer will do her best to edit these out, extensive injuries are harder and take more time to edit, in these cases please rescheduling your session, a fee of editing will be necessary to pay. Equally please note, whilst the photographer will do her best to encourage the best results from the session by allowing children to freely run around, face pulling may happen and in most cases swopping faces over may not be possible.
Forever Chia Photography supplies all images in JPG format, Raw files are not given as these are unedited, these files are an unfinished product, which are not accurate representation of Forever Chia Photography work.
How long for pictures
Online gallery will be ready to view and download within 14 days of your session. For all products please allow approximately 4 weeks from sending fine art album and prints to the printers.
Forever Chia Photography cannot be held responsible for the client’s choice of clothing, makeup/hair, facial expressions or uncooperative children are beyond the photographer’s control, whilst the photographer will do her best to engage with children and clients to feel at ease with her, breaks are taken for children for snacks. It is the photographer’s discretion if she feels that the session should be stopped and another date be booked for the remaining time left from the current session.
The photographer reserves the right to terminate the session, and leave the location if the photographer experiences inappropriate, hostile or offensive behaviour from client.
Clients are expected to arrive in good time for their session, the session will continue on the scheduled time and end, this may limited the number of images available whilst viewing your gallery.
Cancellations and rescheduling
Please allow 48 hours in advance to reschedule your photo session, if in the event of sudden illness please don’t hesitate to cancel. Photographing children feeling under the weather won’t result in memorable images. The next available date Forever Chia Photography has, will be discussed and rearranged. Please note one further cancellation is permitted after this it is down to the photographer’s discretion to honour the session or find an alternative date.
Should the weather forecast change on the day and prevent the session from happening, your session will be rescheduled to the earliest availability.
For larger session including groups over six members, please note additional guests are charge at £15, this fee allocates for additional editing time and five additional images.
Failure to show
If the client chooses to forgo there session and not get in contact in advance, your session cannot be redeemed as this was your session and the photographer was at the agreed location and waited thirty minutes.
The final post production, styles, overall look and editing are left to the discretion of the photographer.
Within a Ipswich is not charged, for sessions outside Ipswich a travel allowance is charged at 50p per mile.
Images are delivered in JPG format, print release is provided for duplication of images, these are sent with your private gallery, thirty to forty images are presented with any full session. After one month from the delivery date these images are removed from the gallery, to revisit the gallery there is a charge of £30 to allocate time and space to upload your images. Please note the gallery is intended for the soul purpose of the client. One use for downloading, protects you as a client and your data.
A password is created which is unique to your gallery, this is sent to you by email. Images are delivered in high resolution to provide the best quality for printing. Request for fine albums and prints please get in contact with [email protected]
Use of client’s images,
Client may grant permission to the photographer to use images for commercial purposes, advertising, trade, personal use, or any other use, if you wish to keep your images private please don’t hesitate to get in contact with me.
Limit of liability,
If images have been taken and not delivered resulting in the very unlikely event digital files have been lost, stolen, or destroyed beyond Forever Chia Photography’s control, including but not limited to the cameras, hard drive, or equipment malfunction, Forever Chia Photography liability is limited to return of all payments received for the session.
How long do you keep my images?
A minimum of two years, however any unforeseen circumstances, where files could become corrupt, Forever Chia Photography cannot be held liable as the client has their own copy and the client is responsible for making a backup of their images.
Printing from your chosen lab
The photographer can only guarantee the quality of printed products that are produced and sold through Forever Chia Photography, printing from a third party may result in changes from the colour you see on your screen. Please research your chosen lab prior to your order, you are not obligated to pint through me, but will result in better quality prints and products. Printing from your phone will result in lower quality images, please download images from your gallery to your computer.
On request, Social media files are delivered as low resolution file optimized for web viewing, these are sharp images to avoid distorted images on Facebook or any other social media. Limited to ten images per album, making it quick and easy to share your images with family and friends, there will be a discreet logo on the images, these images cannot to be altered in any way with the use of filters or cropping. To share your selection of images from your session, please share the link to your blog, featured on foreverchia Facebook page.
Copyright & reproduction
Forever Chia Photography retains the full copyright and ownership, images produced by Forever Chia may not be altered in anyway without the permission from the photographer, in doing so the client is in breach of copyright release. Your images cannot be sold or used elsewhere without the permission from the photographer.
Products and final proofing
Bespoke fine albums go through a strenuous checks, once the client approves the design and pays the balance in full, the product it is sent off to be printed, the client excepts liability and agrees to thoroughly check all text, spelling and design for final proof design. Delivery time, takes four weeks, the fine album is inspected at the time of delivery, with the client when possible, once the product has been accepted by the client, and the photographer is no longer responsible for image colour or quality. Due to the personalised nature of this business, all orders are non-refundable. Product turnaround is two weeks to design the album, for printing it is three weeks, this is out of my control as it’s the printers policy.
Shipping fee is charged as part of your print and fine album, this is clearly shown in your invoice, no hidden or unexpected fees, a three day turnaround from when the photographer receives your art work and is happy with the quality level she will post directly to the client.
Vouchers are valid from 12 months from the purchased date, the voucher is sent directly to the client, or the gift giver, please not if the voucher is lost or destroyed, a fee of £5.00 is charged and the original code will be reprinted, if the old voucher is found please discard this, no refunds are given due to the cost of printing and postal fee have been paid by Forever Chia Photography.
Mini sessions are subject to selected dates through the year, these sessions entitle the client to a thirty minuet slot, locations are advertised through Forever Chia Blog and Facebook, on committing to booking the session, it cannot be refunded or exchanged for another date, in the rare occasion you cannot make your session due to genuine sickness, the photographer will offer you the next date for mini sessions, the location and month will differ from the one advertised.
For the purpose of model calls is to develop skills or try a new location for future sessions, its a free and complimentary session, the photographer requires your full consent to use for advertising purposes, a selection of images from the session are to be share on social media or used for advertising, only these images will be to the delivered to the client. If you are not happy to consent to the use, the session cannot go ahead. A model release form must be signed prior to the session.
For sessions at home with baby or older babies, the photographer advises clients to wear neutral clothing, if possible please avoid large logos and stripy clothing as these can be distracting in the final outcome of images, neutrals does not mean white, it’s a blend of grey, navy, tan, white ivory, soft blue etc., colours that complement each other.
New-born lifestyle session – clothing at to wear for family sessions Keeping in mind that how we dress is a true representation of our characters, I suggest clothing that is comfortable, its best to avoid wearing bright colours, stripes and large prints as these will draw the attention away from happy smiles and the backdrop, don’t forget comfortable shoes, we walk around a lot, clothing that isn’t too restrictive when your lifting your children in the air to couples exploring there surrounding area.
